cancellation & deposit policy

At Platypus Dental, we allocate dedicated clinical time, staff, and resources for every appointment to ensure all patients receive high-quality care. To help us manage appointment availability fairly and efficiently, the following cancellation and deposit policy applies.

Appointments scheduled for more than 60 minutes may require a non-refundable deposit at the time of booking.

• The deposit amount is determined by the practice and is generally up to 50% of the quoted treatment fee.
• The required deposit amount will be communicated to the patient prior to confirming the appointment.
• Bookings requiring a deposit are not considered confirmed until the deposit has been received.

We understand that circumstances may change. If you need to cancel or reschedule your appointment, we request the following notice periods:

• At least 2 business days’ notice for standard appointments under 60 minutes
• At least 5 business days’ notice for appointments longer than 60 minutes.

Notice may be provided by phone, email, or other approved communication channels during business hours.

Deposits paid for extended appointments are non-refundable in the following circumstances:

• Failure to attend the appointment (“no-show”)
• Cancellation outside the required notice period
• Repeated rescheduling or late changes to appointments
• Failure to proceed with treatment on the day without reasonable cause

Where sufficient notice is provided, the deposit may, at the practice’s discretion, be transferred to a future appointment booking.

All implant-related appointments require a non-refundable deposit regardless of the appointment duration.

This includes, but is not limited to:

• Dental implant placement procedures
• Bone grafting and sinus lift procedures
• Implant exposure appointments
• Implant restoration appointments
• Surgical review appointments involving reserved surgical time or materials

Due to the preparation involved, including surgical scheduling, laboratory coordination, ordering of customised components, and allocation of clinical resources, deposits paid for implant-related appointments are non-refundable.

The deposit amount will be determined by the practice and advised prior to confirmation of the appointment.

Patients arriving late may have their appointment shortened, rescheduled, or cancelled if insufficient time remains to safely complete treatment. In such cases, the deposit may be forfeited.

If a patient fails to attend a scheduled appointment without providing the required notice, the appointment will be treated as a “no-show”. In these circumstances, any deposit paid will be forfeited in full as compensation for the reserved clinical time, staffing, and resources allocated to the appointment. This applies to all appointments, including implant-related and extended treatment sessions.

Where the treatment fee exceeds the deposit amount, no additional charges will be automatically applied unless expressly disclosed and agreed in advance. The practice reserves the right to require full prepayment or an increased deposit for future bookings following a non-attendance.

Platypus Dental understands that emergencies and unforeseen situations can occur. The practice reserves the right to waive cancellation fees or transfer deposits at its discretion in cases involving genuine exceptional circumstances.
